This page explains what information Hellora handles and why. Questions or requests: hello@hellora.ca.
Who we are
Hellora provides an AI phone receptionist to businesses. For a customer's calls, the customer decides what the agent does, and Hellora processes call information on their behalf.
What we collect
- From customers: name, business name, email, phone number, business details (hours, services, calendar) and payment details. Card numbers are handled by Stripe and never stored by us.
- From callers to a customer's line: phone number, what was said (transcript and, if enabled, a recording), summary, and details the caller gives for a booking or message.
- From website visitors: what you enter in our forms, and basic technical data needed to run the site.
Why we use it
To answer and route calls, book appointments, show results in your dashboard, send reports, bill you, give support and keep the service safe. We do not sell personal information and do not use caller conversations to advertise.
Who we share it with
Only providers needed to run the service: telephone and voice AI (Retell AI, telephony carriers), AI language models (Anthropic), calendar (Cal.com), payments (Stripe), email delivery, and our hosting and workflow tools. They may process data outside Canada.
Call recording and AI notice
Callers are told that the call is answered by an AI assistant and may be recorded. Customers are responsible for any additional notices their law requires.
How long we keep it
Call records stay available in your dashboard while you are a customer. After you cancel we delete or anonymise them within 90 days unless the law requires us to keep something, such as billing records. You can ask for earlier deletion.
Your choices
You can ask to see, correct or delete your information, or end recording, by emailing us. We reply within 30 days.
Security
We use encrypted connections, sign-in by emailed one-time link and access limited to your own business data. No system is perfectly secure, and we will tell you promptly if a breach affects you.
Changes
We will update this page when practices change and show the date above.
